Planning for over capacity

Running multiple teams and managing multiple customers is hard work. In a fast paced service environment you may find that sometimes you have more jobs booked in than you have engineers / fitters / gardeners or any other type of field team member.

You may find that you are booked up several weeks ahead. If that is the case you don't always know if your field team member (FTM) is going to be around to do that job. That may be because they are on holiday, ill or have left the company. But you still need to inform the client that you can do it and book it in with them or they may go somewhere else.

This is where the capacity schedule comes in. Some people call it the dispatch schedule. Either way it allows you to set your capacity for a day or week and tell Flobot how many jobs or projects you can take on in one day.

You can allocate someone to actually do the job nearer the time but you can immediately book the client in for that job, project or even just a quote right away - sending them the usual sms messages and emails etc.

Using the capacity schedule

Look at the image below to see the information the capacity schedule gives you about each job. Who, where and how long when you roll over the appointment (you may need to ask your account manager to set you up with the capacity schedule if you are unsure how to do this).

How to use the capacity schedule

Firstly go to the client and order that you want and schedule an appointment for them as usual (if you don't know how to do that go here).

Select the the Capacity schedule from the drop down menu

Choose the day and the amount of time it will take to complete the project

The appointment has been successfully added to the capacity schedule

Now to take the appointment out of the capacity schedule

and book it into the schedule of an FTM (Field Team Member). So once again go to the client that you want to book the appointment for in the capacity schedule.

Edit the appointment using the drop down menu on the right

Note that the pictures aren't using the same appointments! But you get the idea.

Unclick and remove the appointment from the capacity schedule and place it into the schedule of the team member you wish to select

Boom! You have moved the job out of the capacity schedule and it will now appear in the FTM's app
